FTE: 50% (20 hrs/week)
Compensation: $21.25-$25.00 depending on experience

Job Summary

Under direction of the Senior Academic Administrator for Naropa College & the Graduate Collective, the Administrative Specialist provides a variety administrative and logistical support services to the Chair and faculty in the BA Psychology residential and online programs. The Administrative Specialist serves as the point of contact for requests for administrative assistance and is responsible for prioritizing and resolving these requests. Position does require some flexibility with weekly working hours as some events that need support occasionally take place on weekends or evenings.

Job Duties & Responsibilities

• Serve as point of contact for BA Psychology faculty and students for intake of questions and request for support.
• Assist Chair with program Assessment activities including tracking, data collection, and data preparation.
• Monitor the Course Catalog and update for accuracy.
• Liaise with the Registrar to confirm course and room scheduling.
• Assist with the BA Psychology budgeting and budget monitoring process.
• Assist with semester-to-semester hiring processes including requisition requests and onboarding for Adjunct Faculty and Academic Support positions.
• Manage the preparation and on-site needs for one retreat per academic year.
• Monitor and update the BA Psychology Sharepoint site to reflect the most accurate and up-to-date information for current and prospective students.
• Reserve rooms and equipment for events and meetings, as needed.
• Other duties and support for the BA Psychology Chair and Senior Academic Administrator as assigned.

Minimum Qualifications:

• Bachelor’s degree in Psychology or a related field. 4 additional years of experience my substitute for degree.
• Two-years previous administrative experience.
• Ability to create and maintain a positive team environment and behave professionally with anyone encountered in the course and scope of the job duties.
• Strong communication skills (oral, written, listening.)
• Intermediate knowledge of Microsoft Excel, Word, and Outlook.
• Self-starter with strong organizational and problem-solving skills, systems thinking, rigorous attention to detail and ability to manage multiple projects.
• Able to support events outside normal working hours when required.
• Experience with Learning Management Systems such as Canvas.

Preferred Qualifications
• 3 years work experience in a higher education administrative support role.
• Familiarity with Naropa University systems, policies, and procedures.
• An appreciation for contemplative education and the mission of Naropa University.
