Job Summary

This support role serves the Community Wellbeing and Resilience (CWR) and Office of Accessibility (OAR) student services areas. The Community Wellbeing and Resilience team is comprised of the Senior Director of Wellbeing and Resilience, the Director of Accessibility Resources, the Graduate Assistant for Wellbeing and this position, and the team sits within the Division of Development, Enrollment, and Student Success.

As an experienced administrative professional, this role supports the core functions and day-to-day operations of these departments. The individual in this role applies their excellent organizational skills and attention to detail in service to coordinating logistics, schedules, events, and assessment for CWR and OAR program activities. This person in this role will receive general supervision and direction yet will need to possess the ability to manage multiple tasks and timelines, act judiciously, and make data informed decisions independently.

The regular schedule for this full-time position includes in person on campus work three days, with the option to work remotely two days each week.

Job Duties & Responsibilities

Wellbeing and Resilience (60%)
• Provides confidential administrative support for Community Wellbeing and Resilience (CWR) area. Works closely with the Senior Director to support the goals of the area.
• Develops and maintains knowledge of the emerging field of Wellness, including a working knowledge of the state and federal laws that inform the scope and limits of the work (FERPA, HIPAA, Mental Health Practice Act, Title IX, ADA, Clery Act, etc.).
• Coordinates logistical details of workshops, events, research, services and educational offerings of the area (QPR, Acudetox, MSC, NCHA, Timely Care, etc.).
• Positively represents CWR while participating and contributing to community events including Town Halls, Orientation, Division Retreats, Practice Day and other core organization activities.
• Inventories, orders, develops and maintains organization for instructional supplies in various campus locations. Advocates for and maintain campus CWR spaces.
• Plans and coordinates logistics of workshops, events, educational offerings. Develops, maintains and publishes a semester schedule of events for CWR. Assists with setup and break down of outreach, education and promotion activities.
• Coordinates administrative details of Biannual NCHA survey.
• Creates flyers and designs SharePoint pages as well as other digital/ social and physical content to promote CWR activities and events. Prepares curated communications to amplify Wellness work in collaboration with university constituents (community newsletters, practice day, orientation). Gathers content for Wellbeing posts. Produces and remediates digitally accessible materials in accordance with Naropa University standards.
• Tracks CWR outreach activities, utilization data and prepares relevant reports. Develops and maintains awareness of extra-CWR Wellness co-curricular activities (including CACE, MCIC, SS, SUN, Yoga, Extended Studies, Joanna Macy Center, Chaplaincy, and others) Wellbeing and shares these with students.
• Serves as a liaison and avenue for students to advocate for Wellbeing initiatives.
• Assists with institutional policy discussions on Wellbeing and Resilience.
• Monitors resource allocation of CWR area through budget tracking, reporting and purchasing.
• Supports the Senior Director with co-supervision of the Wellbeing Graduate Assistant.

Accessibilities (40%)
• Provides confidential administrative support for the Office of Accessibility Resources (OAR).
• Promotes university wide awareness of OAR services.
• Monitors the OAR budget, including bookkeeping, tracking account status, and making recommendations for budgets.
• Works closely with the Director of Accessibility Resources to enhance student access and inclusion across the university.
• Manages the OAR training and events calendar.
• Maintains up-to-date knowledge of assistive technology and best practices in accessibility. Stay current with mobile and desktop applications that enhance accessibility and support student needs.
• Tracks, orders, inventories, coordinates and distributes equipment. Communicates with Facilities department to ensure equipment is delivered and readily available to assigned students.
• Implements and coordinates student accommodation services in alignment with institutional policies and best practices.
o Assists students with registering for accommodation via Accommodate and navigating available support services. Evaluate student documentation to determine eligibility for departmental services.
o Directs active and prospective students to discuss reasonable accommodations with faculty and the OAR Director when issues arise.
o Prepares and disseminates students’ Letter of Accommodations, ensuring timely distribution to faculty via the Office of Accessibility Resources (OAR).
o Educates students on self-advocacy to ensure the approved accommodations are effectively implemented.
o Provides guidance and training on assistive technology to students. Support student access to assistive devices and software, including screen readers, speech-to-text programs, and alternative input methods.

Minimum Requirements:

• Bachelor’s degree in a relevant field.
• Two or more years administrative support experience.
• The ability to learn quickly, take initiative, seek and integrate feedback and adapt to support evolving needs of the organization.
• Demonstrated experience working collaboratively with a variety of stakeholders in a higher education, education, or healthcare setting.
• Proficiency in Microsoft Office Suite, including Word, Excel, Teams, and Outlook.
• Proficiency with Canva or other graphic design software.
• Excellent written and verbal communication skills.
• The ability to synthesize complex information and communicate it clearly to others.
• Demonstrates sound judgment, strong problem solving and critical thinking skills.
• Able to make independent decisions within a complex organizational environment.
• Exceptional attention to detail and accuracy.
• Ability to manage multiple projects and timelines simultaneously while maintaining high-quality work.

Preferred Qualifications
Experience supporting community health, wellbeing, belonging and/or accessibilities programs.
Knowledge of preventative health and/or accessibilities services.
Knowledge of trends, issues and best practices related to student persistence and retention.
Knowledge of ADA, FERPA, confidentiality, and other higher ed relevant compliance regulations.
